Basic customer support interview questions

1. What is good customer service?

Good customer service solves the customer's problem accurately and as quickly as possible, while making them feel heard and respected. It means listening carefully, communicating clearly without jargon, setting honest expectations about what will happen and when, taking ownership instead of passing the customer around, and following up until the issue is truly resolved.

2. How do you handle an angry customer?

I stay calm and do not take it personally. I let the customer explain without interrupting, acknowledge their frustration ("I understand how annoying this must be"), and apologise for the experience. Then I ask questions to understand the problem exactly, explain what I can do, and either fix it or give a realistic timeline, and I follow up as promised.

3. What do FCR, AHT and CSAT mean?

First Contact Resolution is the percentage of issues solved in the first interaction, without the customer needing to contact support again. Average Handle Time is the average duration of an interaction, including talk or chat time, hold time and after-call work. Customer Satisfaction Score is usually measured with a short survey after the interaction. Other common metrics are Net Promoter Score and Customer Effort Score.

4. What is a ticketing system?

A ticketing system records each customer issue as a ticket with a unique ID, so nothing is lost. Each ticket has a priority, status, owner, SLA timer and full conversation history, which lets the team assign work, track deadlines, collaborate and report on volumes and trends. Common tools are Zendesk, Freshdesk, Jira Service Management and Salesforce Service Cloud.

5. How do you say no to a customer?

I start with empathy, then explain the reason briefly and honestly, without hiding behind "it's the policy." Most importantly, I focus on what I can do: offer alternatives, a workaround or the next best option. I use positive language, such as "What I can do for you is…", so the customer leaves with a way forward rather than just a refusal.

6. How do you prioritise when you have many tickets at once?

I prioritise by impact and urgency: outages or issues affecting many customers first, then tickets close to breaching their SLA, then high-severity individual issues, and so on. I also consider how long customers have been waiting. Quick wins can be cleared in between. If the volume is unmanageable, I tell my team lead early so work can be redistributed.

7. How do you write a good support email?

Greet the customer by name and acknowledge the issue in a sentence. Give the solution in clear, numbered steps in plain language, with screenshots or links if helpful. State the next steps and any timelines clearly. Close politely and invite them to reply if anything is unclear. Keep it short, match the tone to the situation, and proofread before sending.

8. What do you do when you don't know the answer to a customer's question?

I never guess, because a wrong answer creates bigger problems. I tell the customer honestly that I will find out, and give them a time when they will hear back. Then I check the knowledge base, ask a senior colleague or escalate to the right team, and follow up with the answer on time. If the answer was not documented, I add it to the knowledge base for others.

9. How would you reduce repeat contacts from customers?

I would analyse why customers contact us again: incomplete first answers, unclear instructions, or product problems. Then I would fix the root causes: share recurring product issues with the product team, improve knowledge base articles and self-service, coach agents on solving the full problem the first time, and proactively notify customers about known issues and status updates.

10. A customer threatens to post a bad review or cancel. What do you do?

I stay calm and take the concern seriously rather than becoming defensive. I let them explain fully, acknowledge the problem and apologise where we are at fault. Then I focus on resolving it within policy, or escalating to someone who can do more, and I clearly explain what will happen next. Once it is resolved I follow up personally. Many customers become loyal when a problem is handled well.

11. How do you handle a situation where the company made a mistake?

I own it instead of making excuses: a sincere apology, a simple explanation of what went wrong, and a clear fix. Where policy allows, I offer suitable compensation, such as a refund, credit or expedited replacement. Then I report the issue internally so the root cause is fixed, and I follow up to make sure the customer is satisfied.

12. How do you keep quality high when handling a high volume of contacts?

I use templates and macros for common issues, but always personalise them to the customer. I rely on the knowledge base rather than memory, prioritise carefully and focus on fully solving the problem the first time, which prevents repeat contacts. I review my work against the quality checklist, take short breaks to stay sharp, and flag patterns in incoming issues to my lead.
